First Baptist Church Office Manager Job Description
Position Summary: The Office Manager is responsible for the administrative management of the church’s office, supervision of church staff, ensuring contributions are properly posted into the computers’ church management system of PowerChurch, ensuring that an accurate database is maintained of church members, ensuring that accounts receivables/payables and payroll are processed timely, depositing contributions received during the week at the bank, and providing administrative support to the Pastor. The Office Manager is a salaried position working Monday through Friday. The Office Manager reports directly to the Pastor but must be able to work effectively with church leaders, church staff, and members of the congregation.
Two to four years of office management experience (preferably in a church environment)
Previous work experience in bookkeeping and or accounting
Proficient in MS Office (Word, Excel, PowerPoint, Publisher, Outlook)
Experience in desktop publishing, preparing bulletins, flyer and brochure design
Experience in a church management system (PowerChurch is preferred)
Experience in membership database management
Excellent verbal and written communication skills
Familiar with Google Drive
Flexible and able to work well under pressure
Must possess excellent organization and interpersonal skills and maintain a high degree of confidentiality
Administrative: Office functions include mail handling, answering the church telephone, filing and maintaining office records, ensuring that all office equipment is operating properly and maintained, communicating with vendors for service and/or supplies, purchasing and maintaining office supplies and equipment, maintaining annual calendars, preparing agendas and PowerPoint Presentations, preparing the Sunday bulletin, preparing the monthly newsletter, maintaining membership profiles, storing church office documentation including bulletins and Power Point presentations in Google Drive, and provide timely updates for the website.
Supervise Service Technician, Security Specialist, part-time office assistant, and office volunteers.
Provide support to Pastor, Trustee Board, and church ministries.
Financial: Financial functions include preparing requisitions for payroll and invoices, posting member contributions, reviewing timesheets and payroll records in preparation for signature, making bank deposits, distributing checks, mailing annual contribution statements to members, and working closely with the Church Treasurer and Accountant to prepare invoices in preparation for payroll.
Facilities: Facilities management includescoordination of rental and leasing of facilities based on guidelines provided by the Facilities Use Committee of the Trustee Board, scheduling meetings and activities held at the church and monitoring entrance of persons into the facilities during the weekday work hours.
Communication: Communication functions includeinforming all necessary persons and ministries of deaths, weddings, and meetings that may require the use of the church, the support of the membership or the Pastor. Meet with the Pastor and/or Trustee Board in a timely manner to discuss any concerns that may affect the operations of the church office.
The Pastor may assign other duties, or the Treasurer and Trustee Board may request them.
